Setting Up Payroll Generation

 

Before you start generating payroll with Eazio, here are some things to consider:

  1. Administrator Role: Only users with the Administrator role have the necessary permissions to generate and process payroll for the organisation. Ensure you have the correct access rights before proceeding.
  2. Employee Finances and Benefits: All employees who are part of the payroll cycle must have their finances and benefits added. This includes details such as salary, bonuses, deductions, and any other relevant information.
  3. Configured Payroll Settings: Payroll settings must be properly configured to align with your organisation’s payroll cycle. Familiarise yourself with each field in the Payroll Settings to ensure everything is set up correctly.

 

Payroll Generation with Eazio: A Step-by-Step Guide

 

With the prerequisites covered, let’s dive into the payroll generation process within Eazio.

The following steps will guide you through setting up payroll parameters, reviewing earnings, and confirming payroll.

 

Payroll Settings

The first step is to configure your payroll settings, ensuring that the system is set up according to your organisation’s specific payroll requirements.

The default currency is set to AED which is applicable to organisations in the UAE market. However, you can adjust the currency if your business operates in a different region.

By default, the pay period is set to monthly, ensuring consistent payroll processing. You can adjust this setting if your business follows a different pay cycle, such as weekly or bi-weekly.

You can also select the beginning date for the payroll cycle. The end date is automatically populated based on the pay cycle duration. Eazio calculates the duration for you, eliminating any errors that may occur manually.

Choose the exact date when employees will receive their salaries for the current payroll cycle, and once configured, save your payroll settings.

 

Generating Payroll

Once payroll settings are configured, you can generate the payroll for your organisation.

Follow these steps to begin the payroll generation process:

  • Click on the Payroll tab and select the appropriate Pay Period from the dropdown. The month selected in the Payroll Settings will appear automatically.
  • Select the specific month for which you are generating payroll, then click the Generate Payroll button to proceed.

 

Review & Add Earnings

You can review and adjust earnings for each employee.

  • Add Employee Finances: Ensure that all finances for the employees are correctly set. Eazio allows you to review existing financial records, such as salaries, bonuses, and deductions, for each employee.
  • Add Additional Earnings or Deductions: If there are any additional earnings like bonuses or deductions like loans, you can add them easily. This flexibility ensures that payroll is always accurate.

 

Double-Check & Ensure Accuracy

At this stage, double-check that all payroll information is accurate.

  • Add Additional Earnings or Deductions: If needed, click on the + icon next to each employee’s name to add or adjust earnings and deductions. A modal will open, where you can enter the following details:
  • Earning Type: Add the name of the earning type (overtime, commission).
  • Amount: Select the appropriate currency and enter the amount for the earning or deduction.

Confirm & Run Payroll

Once everything is reviewed, click the Run Payroll button to finalise the payroll process for the month.

Note: After the payroll is run, it cannot be changed or modified for that specific month, so make sure all details are correct before clicking the button.
